The Administrative Assistant primary role is to support 8 VPs to ensure a high functioning, high performing team in a low drama, fast paced environment. This person is detail oriented, extremely organized and can take initiative while maintaining excellent service to Vice Presidents on the team. This position requires the ability to multi-task and performs well in a fast paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.
• Meeting Management - supports the VPs in planning, managing, and coordinating business meetings and catering if/where needed
• Calendar Management - Maintain calendars and schedules – utilizes webex and intercall as necessary for meetings.
• Travel Management – books travel for VPs and creates expense reports
• Prepare, review, and track invoices
• Assist Sr. Administrative Manager with event coordination and overflow work
• Serves as a point-of-contact for Sr. Vice President during executive assistant’s absence
• Performs other incidental and related duties as required to insure smooth running of PCT
QUALIFICATIONS

• Defined experience supporting multiple executives
• Four year degree from college or university preferable
• Minimum of 8 years’ experience and/or training; or equivalent combination of education and experience.
• Strong writing skills, office administration experience of 8-10 years.
• Excellent PC skills including Word, Excel, PowerPoint, Outlook
• Ability to work well under pressure in a fast paced environment
• Excellent organizational and interpersonal skills
• Highly developed communication skills
• Ability to manage and prioritize multiple tasks
• Ability to work independently and as part of a team
• Detail oriented
• Flexible
• Proficiency in MS Office Suite
