PRINCIPAL OBJECTIVE:
This position manages all administrative support required by the Vice President while providing the Marketing Team with administrative support, as needed. This position would also work directly with the Marketing Team on the development and tracking of strategic actions being implemented for each of the brands in the portfolio.
ACCOUNTABILITIES:
Administrative Support:
•Prepare and manage all aspects of Vice President’s daily calendar, travel schedule, travel bookings, visa applications. Coordinate all technology support - phone, computer, printer, and ad hoc office maintenance.
•Manage Vice President’s expense reports - organize, prepare, and submit on a monthly basis.
•Responsible for the efficient and timely processing and approval of vendor invoices.
•Support Marketing Directors with various administrative needs – including, but not limited to, new hire orientation set-ups, meeting room arrangements, office orders, and regional product requests.
•Assist the coordination of the Cannes Trade show material - sale books, comps, lab samples, booth design.
•Organize and manage global meetings, as needed, including coordination of attendees’ hotel arrangements, travel, and meeting needs.
•Manage departmental trackers, including vacation charts, contact lists, etc.
•Support the Vice President with miscellaneous administrative and business requests.
Seasonal Marketing Support:
•Responsible for the coordination of ad hoc marketing presentations in support of sales meetings
•Responsible for the monthly tracking of samples usage vs. the fiscal plan. Coordinate and place sample orders for the marketing team on a monthly/bi-monthly basis.
•Prepare categories and consumer business reviews as required - traffic patterns, market/country reviews.
•Gather new launch bulletins on a weekly basis for distribution, highlight urgent updates that need to be addressed by marketing team.
Consumer Marketing Support:
•Liaise between the Marketing Team and Digital Teams to ensure all retailer e-com sites are well maintained and adhere to brand standards on a seasonal basis.
•Track all aspects of retailer e-com site assets and creatives. Ensure content and assets are provided by Global Brands on time. Lead and coordinate changeover schedules with Regional Marketing and Digital Teams.
•Collaborate with Marketing Team on Social activation planning and provide support, as needed. Liaise with marketing and cross-functional teams on implementation of ad hoc consumer engagement projects identified by each brand.
Qualifications
•Position requires 1-3 years of related experience. Marketing experience, a plus.
•College/University degree required.
•Korean or Mandarin Chinese language skills, a plus.
•Ability to multi-task in a fast paced environment and prioritize a high volume of work.
•Detail oriented with excellent interpersonal and customer service skills.
•Must have professional written and verbal communication skills.
•Microsoft Office skillset required: Outlook Calendars, PowerPoint, Word, and Excel.
•Must have strong presentation skills.
