Overview
Provide administrative support and office management for Vice President-Global Brand Management.
Responsibilities
Administrative Support for VP
• Manage calendar for VP
• Book and set up meetings (book conference room, catering, equipment, etc.)
• Travel arrangements; both domestic and international
• Prepare and reconcile expense reports
• Other administrative duties as needed (filing, copying, arranging messengers, getting lunch, etc.)
Support for Brand Management Group/Office Management
• Order and manage office supplies for Brand Management group. Maintain general office environment
• Create/update PowerPoint decks
• Partner with IT Marketing team to represent group needs
• Log, report and follow up on Facilities and IT requests
• Sort mail for the group
• Prepare and submit time sheets via Kronos for the Brand Management Group. Maintain attendance and vacation schedules
• Photo copy and distribute materials as requested by departmental management
• Maintain an organized work space
• Book and set up meetings for department’s employees as needed
• Prepare expense reports for department’s employees as needed
• Make travel arrangements for team members as needed
• Organize employee recognition events/celebrations, including team building activities
Qualifications
• Required qualifications include prior administrative experience with exceptional interpersonal skills, business writing & verbal communication skills
• Proven mastery in Microsoft Office Applications (Word, Excel, PowerPoint & Outlook)
• The ideal candidate must be deadline driven with flexibility and superior organizational skills
• At least 2+ years of administrative experience supporting a team and senior level executives in a fast paced environment
• The candidate must be flexible with changing job requirements as the business needs change
• The ideal candidate will need to have the ability to resolve problems without close supervision
