The Supply Chain Operations Coordinator will be responsible for monitoring projects to ensure goals are met, projects are on time, on scope, and on budget. This role will ensure resources are adequately utilized by providing direction and insightful solutions to challenges when needed to ensure initiatives and strategic needs for the Supply Chain teams. The position will coordinate and navigate schedules within set timelines to ensure daily operations run smoothly. The ideal candidate will also manage key projects for the organization and serve as a liaison for senior management. This position requires a high level of confidentiality and discretion as well as excellent time, high level administrative and project management skills. The successful candidate must be enthusiastic, collaborative and eager to take on various project management responsibilities, and capable of working with a team or independently.
Duties:
• Supports the Company’s pursuit of its strategic, operational, and revenue-generating goals
• Identifying and acting on areas for operational improvement and supply chain cost reduction
• Collaborate with cross-functional departments to generate project plans, and project timelines
• Manage client expectations and ensure alignment in work process and deliverables.
• Track and report estimates against budget actuals.
• Implement procedures and process improvement initiatives across multiple functions.
• Manage Production Meetings ranging from schedules, logistics, material distribution, record minutes and monitor follow-up task list to ensure timely completion of action items.
• Interact frequently and successfully with senior executives on various matters.
• Schedule daily meetings, and maintain calendars with the ability to understand and anticipate challenges facing leadership executives and be able to manage and reschedule priorities effectively and proactively.
• Manage all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotels and local transportation, providing agendas and itineraries, and arranging passport/visa requirements if necessary.
• Compile reports, letters, and memos using various software tools, including Word, Excel, and PowerPoint.
• Reconcile time and expense reports and manage weekly processing; ensure adherence to compliance guidelines.
• Prepare all types of correspondence often acting independently, including letters, memos, agendas, and reports; prepare additional documentation as needed including composing, proofreading, formatting, and editing documents.
• Maintain hardcopy as well as electronic filing systems for all standard and confidential files.
• Use analytical ability to gather and summarize data, make decisions and solve problems.
• Develop a good working relationship with all levels of staff.
• Support the Supply Chain team with project management.
Skills/Qualifications:
• Minimum of 5+ years of high level, complex project management work experience.
• Strong project management and problem solving skills
• Ability to integrate, and professionally communicate information to internal and external parties
• Ability to thrive in a fast-paced environment and execute effectively against multiple projects and deadlines.
• Ability to interface effectively with all levels of staff and executives within the company.
• Demonstrated ability to take initiative, anticipate needs and exercise independent and sound judgment.
• Experience dealing with sensitive and conflicting situations in a diplomatic manner.
• Professional presence with the ability to build credibility and influence others.
