Overview
Tiffany and Company is currently seeking an Administrative Assistant for the IT Division in Parsippany, NJ. The Administrative Assistant will provide administrative support to one of the IT Vice Presidents and their direct reports as needed. Responsibilities include administrative support, planning and coordinating meetings, conferences and business travel along with other general office responsibilities such as expense reporting and supplies.
This position will be based in Parsippany, NJ and may require coverage in the New York office.
Responsibilities
The Administrative Assistant will be responsible for the following:
• Support Vice President with calendar coordination, meeting coordination and scheduling, prepare and edit presentation materials, travel and conference arrangements, expense tracking and submission, telephone coverage, and support other special projects as needed.
• Provide support to Vice President's direct reports and management team as needed.
• Schedule meetings while ensuring that all preparations are made prior. Includes reservations of conference rooms, arranging dialing instructions, registering visitors, order food (if necessary) and ensuring all materials are printed and ready for all participants – particular focus for senior level steering committee meetings.
• Assisting with reconciling and processing invoices for key projects.
• Prepare accurate expense reports and ensure the corporate card is balanced and paid timely.
• Arrangement of domestic and international travel arrangements including transportation, hotel and dining arrangements and creation of detailed travel itineraries.
• Responsible for tracking and submitting time and attendance.
Qualifications
• 5+ years administrative experience supporting a team and/or senior level executives in a fast paced environment
• Exceptional interpersonal skills, business writing skills and verbal communication skills, deadline driven and organizational skills
• Must have excellent follow up skills
• Ability to interact professionally with high-level executives on a regular basis
• Ability to work independently as well as part of team
• Proven mastery of MS Office Applications (Word, Excel, PowerPoint and Outlook)
• Ability to manage multiple tasks effectively, while handling frequent interruptions
• Must be flexible with changing job requirements as the business needs change
• Associate degree or BS/BA preferred
