MISSION
Provide expert administrative support and human resources project coordination for the Human Resource Department. The position is also responsible for supervising the Seattle Mailroom/Reception and overseeing all office maintenance requests for the Corporate office.
KEY RESULTS AREAS
• Data entry and management of the HRIS system, including entering new hires, changes to employee status, and processing terminated employees. Processes 300 + changes in the system per month.
• Responsible for set-up and maintenance of employee personnel records. Ensuring the employee personnel file/record matches what is in the HRIS system. Maintains over 3600 employee records and processes paperwork from over 175 different locations across the country and Canada.
• Trouble shoots and ensure accuracy of employee data. Requires a high level of attention to detail and accurate data entry.
• Coordinates the production of final paychecks with various retail/restaurant locations and as needed.
• Filing HR Paperwork in a timely manner.
• Familiarity & understanding of I-9 and E-Verify process, ability to research & respond to questions.
• Knowledge & understanding of policies as described in Tommy Bahama Employee Handbook to ensure accurate guidance provided to employees.
• Perform human resources special projects as assigned and as time permits.
• Maintain absolute confidentiality over payroll and other personnel issues.
• Processes invoices for HR team.
• Serves as the Employee Transportation Coordinator (responsible for Orca Cards, Parking, and City reporting).
• Supervise Facilities Coordinator ensures the facilities are operating smoothly, and that new employees are being set up with regard to facilities needs. (furniture, supplies, equipment). Completes approximately 5 large moves within the Seattle Corporate building per year (moving employees spaces and departments).
• Supervise Facilities Coordinator and assists with building priorities so that “Servicedesk” requests are appropriate and needed, and that finance is aware of potential charges. Handles approximately 10 requests per month.
• May make recommendations for building improvements and be asked to project personnel needs for budgeting purposes.
EXPERIENCE, TALENT AND EDUCATION
• Bachelor's degree strongly preferred.
• Experience within a large company Human Resource Department. Including establishing and maintaining Human Resources files (in compliance with various state and federal laws).
• Experience in data entry into an HRIS System.
• Human Resources certification preferred.
• Basic financial/bookkeeping
• Experience working with Microsoft Office products, including Word, and Excel.
• Ability to work in a fast paced rapidly changing environment.
• Must have excellent time management skills.
• Solid verbal and written communication skills.
• Outstanding Customer Service skills.
• Experience supervising others
