Overview
The individual will provide administrative support and office management for Executive Creative Director-Global Marketing and Vice President, Creative Director-Digital Marketing.
Responsibilities
Administrative Support for both VPs
• Manage calendars for both VPs
• Book and set up meetings (book conference room, catering, equipment, etc.)
• Travel arrangements
• Prepare and reconcile expense reports
• Other administrative duties as needed (filing, copying, arranging messengers, etc.)
Support for Creative Group/Office Management
• Order and manage art and office supplies for Creative group. Maintain general office environment
• Partner with IT Marketing team to represent Creative group needs
• Log, report and follow up on Facilities and IT requests
• Sort mail for the Creative Group
• Prepare and submit time sheets via Kronos for the Creative Group. Maintain attendance and vacation schedules
• Photo copy and distribute materials as requested by departmental management
• Maintain an organized work space
• Book and set up meetings for department’s employees as needed
• Prepare expense reports for department’s employees as needed
• Make travel arrangements for Creative Group members as needed
• Organize employee recognition events/celebrations, including team building activities
Qualifications
• Executive and or Administrative Assistant experience
• Proficient in MS Office (Outlook, Excel, PowerPoint, Word)
• Strong communication skills, written and verbal
• Ability to prioritize and multi-task
• Highly organized, flexible and proactive
