This is a professional who combines an overall understanding of an executive’s day-to-day responsibilities while working with minimal supervision. The Executive Assistant understands the requirement for flexibility and accommodates shifting priorities while representing and supporting this SVP.
This position manages an administrative assistant that supports 8 VPs. Together these positions oversee all duties and functions for the team.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.
• Supports the Executive in coordinating day-to-day business activities
• Serves as a point-of-contact for external contacts
• Maintains calendar and schedules, screen incoming telephone calls and greets visitors
• Coordinates meeting and conference schedules
• Arranges conference calls an video conference meetings
• General organizing/filing; packaging/sending documents via FedEx; ordering office supplies
• Compose and format documentation including letters, books, and communication to staff
• Initiate travel arrangements including obtaining visas and passports
• Plan and manage events – including Initial Line Reviews and Line Close
• Coordinate a variety of resources, obtain information for special projects
• Create and maintain spreadsheets and PowerPoint presentations
• Prepares, reviews, and tracks invoices and expense reports for SVP
• Composes routine correspondence as needed
• Arranges catering services for meetings, as well as, secures car services as requested
• Performs other incidental and related duties as required
QUALIFICATIONS

• College degree preferred, but not required
• Minimum of 8 years of executive administrative assistant experience supporting a C level executive and/or training; or equivalent combination of education and experience
• Must have strong PC skills including Word, Excel, PowerPoint, and Outlook.Experience with SAP a plus.
• Excellent communication skills (written and verbal)
• Ability to multitask, and be flexible, efficient, proactive, and dedicated
• Pays close attention to detail and has strong organizational skills
• Ability to handle confidential information
• Ability to work under pressure in a fast-paced global environment while interacting with all levels of employees in multiple locations, (domestic and international)
