Job Description
Position Objective:
Provides administrative support to the department’s Directors and/or Vice Presidents. Includes support of processes for the delivery of department programs. Assist with meeting/training preparation activities, reserving conference rooms, and department email communications. Work with Department Associates to support daily administrative functions related to scheduling meetings, managing calendars, assisting with new application implementations, and managing print and copy activities.
Primary Responsibilities
Coordinates Calendar and Correspondence
• Responsible for all scheduling and maintenance of calendar on email including anticipating and collecting prep. This includes the coordination of all meetings including dates, agendas, food, meeting rooms and invitations.
• Ensures timely and appropriate response to incoming mail and e-mails, including drafting written responses to all levels of management and key resources and customers
• Sets up and maintains email lists
Performs Reporting, File Management and Office Coordination
• Orders and maintains supplies and equipment for department
• Prepares and publishes reports, PowerPoint presentations, and spreadsheets
• Files and maintains department records and necessary documentation

Required Qualifications:
• Professional and articulate.
• Ability to work independently and with multiple levels within the organization.
• Excellent time management and organization skills.
• Working knowledge of all Microsoft Office applications.

Addendum:
Administrative Assistant for Day Care
• Distribute department communications, supplies and state required forms.
• Schedule and guide all visits to department.
• Maintain child files and records for department billing and payments, in accordance with Wisconsin Department of Children and Families rules and regulations.
• Assist Early Childhood Teacher and/or Support Teacher as needed.
• Maintain current First Aid/Infant and Children CPR with AED training certificate.
Required Qualifications:
• Child Care/Education experience preferred.
• Introduction to the Child Care Profession (formerly ECI) and Skills and Strategies for the Child Care Teacher (formerly ECII) or equivalent completed. (Wisconsin Department of Children and Families requirement.)
• Health Exam and TB test.
Preferred Qualifications:
• Experience in a medium to large organization’s reception environment preferred.
• Fundamentals of Infant and Toddler Care (formerly Infant/Toddler) or equivalent completed.
• First Aid and Infant/Child CPR with AED training.
• Shaken Baby Syndrome Training.
Administrative Assistant for non-Day Care
• Schedules travel and processes expense settlements.
Finance Administrative Assistant
• Readies monthly sales and quarterly earnings releases for proofing, and works with newswire for distribution to National and Retail Trades and First Call.
• Arrange conference calls for monthly sales and quarterly earnings. Set up web casting for earnings calls and yearly analyst meetings.
• Assist in organizing Kohl’s yearly investor conference.
• Input confidential Share Option information.
• Update various accounting spreadsheets for budgets and financial planning.
• Assist Tax area with filings for state taxes and rent.
Merchant Divisional Administrative Assistant
• Support the Divisional advertising process as directed. Support the coordination and communication of ad objectives. Prepare and coordinate layout material.
• Prepare past event recaps. Track ad results and provide feedback about future improvements.
• Help with sample turn in and paperwork between Graphics and Merchandise presentation.
MIO Training Administrative Assistant
• Maintain functionality of MIO training rooms and equipment, MIO conference rooms, and MIO printers and copiers. Prepare all necessary materials for training sessions.
• Utilize the Corporate Learning Management System (LMS) for training registration and training tracking systems to generate reports, collect training evaluation data and maintain data integrity.
• Manage MIO page on Kohl’s Online using Rhythmix to add, delete, change documents.
• Initiate new user system access to network, Lotus Notes, Data Warehouse, RMS, Kohl’s Connection; maintain Lotus Notes email groups; resolve user set-up issues.
• Provide backup support to the EVP of MP&A where needed.
Credit Administrative Assistant
• Schedules travel and processes expense settlements
• Properly codes and submits invoices to Accounts Payable
• Provides back up support to the SVP of Credit when needed
