The Coordinator, Buying Office defines the luxury lifestyle shopping experience through building lasting relationships with our people, customers and partners by providing operational support to the buying team. Day to day activities include maintenance and reconciliation of all specific portfolio issues, POs, invoices.
This activity is accomplished through continuous interaction with the vendors, stores, and Accounts Payable/Merchandise Accounting.
Specific responsibilities include (but are not limited to) the following:
• Administer and oversee the ongoing maintenance of portfolio programs or processes such as entering purchase orders, following up on order delivery, and ensuring the stores receive all appropriate material seasonally
• Work in partnership with the Buyer to coordinate and support all portfolio programs and initiatives such as Trunk Shows
• Resolving portfolio-related issues
• Continuous communication with appropriate/relevant contacts at store level, at the vendors, and within Holt Renfrew’s accounting team via phone and email
• Preparing and issuing monthly selling reports to identify missed opportunities in the Ready to Wear business
• Building and maintaining heathy working relationships with all partners
• Investigating and solving problematic invoicing issues causing delayed payments to vendors
• Weekly tracking and reporting to designated contacts within Buying team on status of outstanding and resolved issues such as pickup rates
• Coordinates project/event/initiative implementations including critical paths, monitoring of progress, development of launch materials, communication and results tracking
• Identify and recommend opportunities for the improvement of processes and performance
• Participate in the updating and distribution of internal program materials and policies
• Complies with all Health & Safety policies and requirements
• Other duties and projects as assigned
The ideal candidate:
• Post-secondary degree in a related field or equivalent work experience
• 1-2 years of post-university work experience
• Is extremely detail oriented due to the order volume and intricacies of an MTM garment
• Demonstrated leadership and influencing skills with the ability to get things done
• Excellent interpersonal skills; a team player who is able to act as both a leader and an individual contributor as required
• Confident and effective communication (written & verbal) and interpersonal skills
• Is adaptable and comfortable with ambiguity and change
• Preferred knowledge of AS400 & Data Warehouse
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
