Position Purpose and Scope
Provide executive support for the Senior Vice President of Global Corporate Communications. As an Executive Assistant, you will perform diverse administrative duties and functions requiring confidentiality. You should have excellent organizational skills and the ability to effectively handle multiple priorities. Duties will expand to include coordinating meetings, coordinating travel arrangements, ordering and maintaining supplies, submitting expenses and/or reviewing incoming correspondence.
Key Responsibilities
• Manage calendar on a daily, weekly and monthly basis, including all appointments, meetings and conference calls
• All general administrative tasks including calendar and telephone management, expense reporting, responding to basic requests
• Ensure executive’s contacts and other key information is kept up to date
• Coordinate all travel arrangements with careful oversight; ensure travel plans are aligned with others on the same trip to the extent possible
• Track emails and alert to critical correspondence, and respond on the executive’s behalf if needed
• Follow up with executive’s teams or colleagues on outstanding information or materials as requested
• Monitor inventory of office supplies and re-order as needed
• Partner with Finance to monitor budget as needed
• Attend necessary meetings and generate weekly, monthly, and business recaps/reports for the team as requested
• When necessary, maintain confidential employee records, including: vacation/personal time tracking and performance management documentation
Requirements:
• Minimum 2 years administrative support experience in a creative/dynamic environment (preferably at the executive level)
• Strong problem solving skills
• Excellent follow up skills
• Ability to prioritize and multi-task
• Ability to handle confidential matters professionally
• Proficiency in Outlook, Word, Excel and PowerPoint
