ROLE SUMMARY
Fantastic opportunity to join a diverse and energized team of Marketing Executives (1 SVP and 5 VPs), in charge of Marketing and Brand Excellence, Creativity, Innovation, Trial and running the Marketing Academy for the biggest Beauty challenger in the industry COTY. This is a permanent position to be filled ASAP, for an enthusiastic, make it happen person, always willing to pick up a new challenge. The role includes logistic and administrative support to the team (travels, agendas, purchase orders, meeting organization), as well event organization (up to 80 people across the globe, including internal and external partners), eLearning management, and creative work as profile and capacity allows.
KEY RESPONSIBILITIES
• Provides administrative support to the SVP and 5 VPs including:
◦ Calendar management and meeting scheduling
◦ Travel (arranging travel plans, itineraries, booking, visas, expense reports)
◦ Support meeting preparation (attendance, document compiling)
◦ Execute purchase orders and follow up with suppliers on invoicing
• For the SVP specifically, coordinate communication with key counterparts requiring meetings and connections, managing incoming correspondence, establishing a system for prioritizing and reviewing requests, and ensures follow up on appropriate requests
• Organize internal and external events for the Marketing Excellence capability program (Seminars, global connects, events on site or offsite, including other locations). Handling invites, participation, logistic set up (bookings), accommodations, meeting rooms, logistic, attendance and information flow. Potentially support the team in finalization, preparation and adaptation of presentation and materials for the events.
• Coordinate agencies in charge of the logistic execution of the events.
• Review, adjust, finalize and update content material for live trainings and e-learning platform.
EXPERIENCE / SKILLS / BEHAVIOURS
• Work as executive team assistant is required
• Larger event organization experience is a plus
• “Can do” and “ready to flow to work”
• Self-starter with a professional yet friendly disposition and sense of humor
• Excellent attention to detail and discipline when it comes to time management
• Ability to deliver simultaneous projects under time pressure and can prioritize effectively
• Highly proactive and able to plan forward, anticipate complexities and plan for solutions
• Flexible approach to working outside of normal office hours, particularly when supporting events
• Demonstrated communication skills including exceptional speaking, writing and editing skills
• High proficiency on power point to prepare, adjust and finalize materials for trainings
• Strong computer skills (Knowledge of MS Word , MS Excel, Internet and Outlook)
