Refinery29 is looking for a hyper-organized Office Coordinator who is passionate about the digital media space and interested in supporting our Los Angeles office! We’re looking for candidates who are entrepreneurial in spirit, curious in nature, and truly excited about joining our fast-growing company.
The successful candidate will have a passion for representing the Refinery29 brand, the natural ability to make all guests feel “at home” and is always ready to roll up their sleeves & get the job done. **We are looking for candidates who are already located in the LA area.**

You can expect to join a hard-working team, dedicated to keeping the ever-growing R29 LA office running like a well-oiled machine! You'll handle everything from greeting guests to managing supply order/deliveries to internal event brainstorming & execution (Happy Hour, anyone?).
Job Description:
• Lead front desk/reception operations
• Receive, sort and ship mail/deliveries
• Manage the main phone system, fielding, screening, and directing all incoming calls
• Interface with both external guests and internal departments
• Ensure all necessities are fully stocked & ordered in a timely manner
• Maintain kitchen throughout the day (brewing coffee, replenishing food supply, etc.)
• Responsible for processing/receiving orders for food and office supplies
• Perform routine walkthroughs of common areas to ensure overall tidiness of the office environment.
• Keep a close eye on storage areas to ensure these areas stay functional and clutter-free.
• Responsible for assisting with the setup and teardown for company related internal events. This involves sourcing caterers/vendors, setting up chairs and helping to arrange the space as needed.
Qualifications:
• Minimum of 2 years experience working in a fast paced office environment
• Bachelor's degree preferred
• A proven passion for customer service
• Ability to work well both as member of a team and independently
• Able to prioritize and anticipate needs before they exist
• Excellent communication skills, both written and verbal
• Organizational skills with impeccable attention to detail
• Fast-learner, with the ability to learn new systems
• Resiliency, curiosity, and a positive outlook – all musts!
• PLEASE NOTE: Must be able to lift up to 50lbs
Day to Day:
Administrative Tasks:
• Accept incoming packages and assist in moving them to storage space or notify the appropriate person when a package arrives if/when they are out of the office
• Work with staff to assist in sending packages
• Answer phones and ensure communication is being routed to the proper employee or when needed that a message is being taken.
• Provide basic office support i.e making sure desks have a working office phone, making sure the printer is stocked with paper and working properly
• Help to create workable solutions to items that need to be temporarily stored in the office
• Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
• Maintain accurate staff records for LA office
Office Communication:
• Ensure that all company-wide internal correspondence is distributed
• Be accessible for employee communication on all forms of communication used by staff (i.e, G-chat, slack, gmail)
Staff Support:
• Offer refreshments to visitors that arrive at the office
• Assist in ordering food for executive meetings as needed
• Provide professional support to directors, VP's and executive staff within reason and when your schedule allows.
• Orienting all new employees and training new hires with preliminary work information
Office Culture:
• Greet incoming vendors who arrive at the office in a timely and pleasant manner
• Maintain the stock levels for office and breakroom supplies
• Display a positive demeanor to employees and guests in the office
• Maintain office space to present an inviting atmosphere
• Oversee custodial staff in order to ensure proper cleanliness and sanitization of the premises
