Description
The Operations Coordinator, Global Visual Merchandising and Store Design’s main responsibility will be tracking the status of all projects within the Department, establishing timelines and managing project deliverables. This position will have involvement in administrative functions in order to help the department operate effectively and support department projects and initiatives on an as needed basis. Working closely with the VP and Executive Director, the Coordinator will help put systems in place to manage project workflow based on priorities and workload. Will be the primary liaison with Global Creative Operations to obtain seasonal launch timetables, communicate schedules and ensure all dates and milestones within the Creative Calendar are met. This position is directly accountable for managing VM presentation schedules, deliverables for Global Roundtable and Sales meetings and will be the point person for coordinating meeting and showroom setups.
ACCOUNTABILITIES:
•Track status of all Visual Merchandising and Store Design/VM crossover projects.
•Support Departmental head in prioritizing and delegating workload accordingly. Bring to department leads potential risks in meeting project deadlines.
•Liaise closely with Global Creative Operations on deliverables and status of projects.
•Maintain working knowledge of global marketing calendar by attending marketing briefs and continually follow up with marketing teams to track changes to launch lineups and dates.
•Attend weekly Merchandising Design Review (MDR), Creative Program Review (CPR) and Design Vendor Development (DVD) cross-functional meetings to provide VM project status and compile most current information on programs.
•Oversee Creative Request Process and ensure all information for seasonal launches is obtained from cross-functional departments in order for the team to develop program designs.
•Coordinate the details and budget for room set-ups to present major Visual Merchandising programs to Senior Leaders.
•Track departmental spending against budgets, handle rebilling of international shipments, and processing and tracking invoices timely.
This position will have involvement in administrative support to the department as well as projects and initiatives as needed.
Handle additional responsibilities and projects as required.
Qualifications
•Undergraduate College Degree is required plus 2+ years relevant experience.
•Position requires outstanding project management and organizational skills, and ability to direct others.
•Position requires strong presentation skills, ability to think proactively, personally organize, prioritize and manage multi-project work flow simultaneously.
•Proficiency utilizing MAC Systems platforms and Microsoft Office including Excel
•Prior experience processing and tracking invoices using SAP and SRM.
•Prior experience in a fast-paced creative environment. Cosmetic industry experience a plus
