SUMMARY OF POSITION:
The Executive Administrative Assistant is responsible for providing administrative and clerical assistance to the Divisional VP, Directors and members of IS&T team in Chicago.
RESPONSIBILITIES:
• General office functions (maintain filing system, schedule meetings, greet visitors, etc.)
• Coordinate and order supplies for IS&T department and arrange for equipment maintenance
• Handle and screen mail and provide telephone support for IT management team
• Draft and edit correspondence
• Assist with the preparation of presentations and/or reports
• Manage calendars for IT Directors
• Assist with tracking of monthly KPI’s
• Act as administrator for reporting on IT work related Time Recording
• Assist in the coordination and organization of corporate events
• Verify and prepare IT expense invoices for payment
• Assist IT management with weekly expense and budget reviews
• Handle travel arrangements for all associates in Chicago office
• Make the office run smoothly and efficiently
Qualifications
SKILLS & KNOWLEDGE:
• Excellent computer and communication skills
• Strong customer service skills
• Excellent Microsoft Word, Excel spreadsheet and PowerPoint presentation skills. Keep current on new software packages
• Internet research experience
• Ability to read, analyze and interpret technical journals, financial reports and legal documents
• Must be very detail oriented with a high degree of accuracy in all work completed
• Must exercise confidentiality and be able to work independently
• Must be proactive in addressing multiple IT issues
MINIMUM QUALIFICATIONS:
• Requires 3 to 5 years of related work experience in this type of a role
• Must be able to analyze situations, make sound decisions and implement action
• Must excel in creativity
• Must be able to work at a fast pace, on multiple priorities, and work in stressful situations
• Must be flexible and able to adapt quickly to changes
• Must be able to work overtime as required
