Responsibilities include but are not limited to:
DAILY:
• Ensure overall office tidiness
◦ Ensure all crockery and cutlery is returned from the kitchenette
◦ Buy milk and any other office supplies
• Emails
◦ Invoices (Raise and Receipt where necessary)
◦ Expenses (print and save receipts where necessary)
◦ Staff requests; help required by the team
• Ad Hoc
◦ PA Duties to Country Manager
◦ Book couriers
◦ Travel to the Post Office when required
◦ Help staff members with queries – travel, HR, expenses etc
• Front Desk
◦ Answer telephone
◦ Welcome guests
WEEKLY:
• One-to-One meeting with Country Manager
◦ Carry out any specific requests and book meetings and travel where necessary
• Each Monday collate all competitor activity (in-store / online Promo activity) and report back to Carly & Hayley.
◦ Collate industry news and big retail / technology updates and share also
• Ensure all invoices are up to date using the Celaton system
◦ Process ‘New Supplier’ forms, raise invoices and receipt payments
• Expenses (Personal and Company Credit Card)
◦ Scan in expense receipts and save for submission
◦ Track against Company Credit Card statements
• Courier Booking
• Office Stationary
◦ Ensure everyone has the items they need
# Check copy paper, ink cartridges, IT accessories etc
◦ Staff Returns
◦ Post Office
◦ Check cleanliness of fridge, nag people to wash up and ensure on Friday the area is clean for the new week.
MONTHLY:
• Write and create Monthly Trend Report / Brand Pulse Document
◦ Keep track of all Australian key trends; imagery, screen-shots from magazines and social media
◦ Identify and evaluate trends, the sales figures and ascertain if the AU market is representative of stock onsite
◦ Report on all competitor activity; campaigns, edits, new propositions etc
• Check for important dates in the calendar; staff birthdays, conferences, staff travel, PR events etc
• Marketing Support
◦ Raise Discount Codes (Back Office)
◦ Order Gift Vouchers (Gift Voucher Team in UK)
◦ Support competition fulfilment (packing and sending prizes)
◦ Finance queries, processing Marketing & Social Media invoices
• Move unwanted office items to Storage Facility (Storage King Alexandria)
• Month End Accounting
◦ Input all OPEX transactions to budget tracker spreadsheet
◦ Meet with Hayley Pak to discuss month to month tracking
◦ Feedback monthly findings to Country Manager
