Job Summary:
The Account Coordinator is the entry level position in account management and acts primarily as an internal liaison, representing their assignments to Agency colleagues. They also give internal support for the day-to-day administration of the account management function.
Major Responsibilities:
• Assist and supports Account staff with the internal management of all active jobs including working with Internal Operations/Finance to open jobs and communicate job numbers to all concerned
• Ensure all Estimates/CWAs are saved on the server
• Assemble and are responsible for weekly completion and distribution of accurate and comprehensive status reports to clients as well as production schedules when needed
• Set up all meetings based on the schedules (internals and kick offs)
• Attend meetings relevant to current projects. If necessary take notes, and provide written call reports pertaining to what was discussed and next steps. Circulate call reports to appropriate internal team members and clients.
• Handle administrative tasks as requested including but not limited to maintenance of folders on the shared drive, maintenance of files including production estimates and conference reports so they are current and correct, as well as timelines, calendars, and schedules for their assignments
• Assist Account staff in research and preparation of their presentations of quarterly competitive reports to assure that the client and creative partners are kept abreast of marketplace developments
• Responsible for monitoring competitive activity and selecting noteworthy news or advertising and circulating it to clients and within the agency
• Act as resource for current information about the status of all projects in progress and aim to keep supervisor informed of same
• Working closely with traffic and production, assists in the preparation of correct production estimates for client review and approval
• Assists in assembling monthly budget reports for review in regular meetings with clients
• Maintain/update Team Contact List
• Handle messengers/shipping of things to the clients and receive it back from the client
• Help ensure all current PDFs of projects are saved on the server
• Create word documents from PDFs if needed for the client
• Assist with routing when needed
Qualifications/Skills:
• BA in Advertising, Marketing or related preferred
• Strong project management skills with impeccable attention to detail
• First rate thinker with excellent communications skills: writing and presenting
• Marketing/advertising or agency internship a strong plus
• Digital native
• Passion for advertising with energy, initiative and drive to succeed
• Demonstrates intellectual curiosity
• Leadership skills
