Executive Assistant to Senior Vice President
The role of Executive Assistant will be reporting to the Senior Vice President / General Manager Fountain Foodservice Division. The successful candidate will be professional, articulate, and adaptable to a fast-paced environment.
This role is a high impact position which demands a highly organized individual who can effectively prioritize and manage multiple on-going projects.

Position Responsibilities
• Manage calendar and all travel arrangements for SVP/GM, two Vice Presidents and one Director.
• Track and submit expense reports for SVP/GM, two Vice Presidents, and one Director.
• Plan and execute all SVP/GM Staff Meetings/Reviews
• Work as liaison between SVP/GM, and his Vice Presidents to manage schedules, meetings, and daily communication.
• Collaborate with our HR Business Partner to track FFS adherence to company deadlines (PMP’s, review ratings/salary submissions, Code of Conduct)
• Create, proof, and distribute for SVP/GM email messages and reminders to FFS organization.
• Partner with Travel and Events Services (TES) to track FFS registration for company programs/events (Sales Meetings, Football, Academy of Country Music Awards)
• Manage cost and inventory of office supplies
• Conduct regular meetings with the FFS Admins to ensure alignment on Banner strategic objectives.

Project Management:
• Annual FFS Banner Meeting – Plan, execute, and attend Annual Sales Meeting for the Fountain/Foodservice Division (130 attendees) which includes:
◦ Selecting property; negotiating contract; managing budget; managing ground transportation; creating, supplying and executing teambuilding exercises; obtaining proper permits when needed; organizing audio/visual equipment requirements; securing proper number and size of meetings rooms, including rooms/locations for evening functions; planning meals; validating invoice and submitting for final payment
• Academy of Country Music Awards (ACMA’s) – plan, execute, and attend customer event with 600+ FFS attendees and their guests
◦ Work collaboratively with TES to execute this program. Secure locations, private rooms, menu for dinners/cocktail receptions for FFS personnel and their guests.
• National Growth Meeting – Annual sales meeting always held locally with FFS attending (130 attendees)
◦ Work with TES to plan, execute and attend this program for FFS by checking registrations, securing meeting/breakout space, selecting meals for System Dinner, executing award ceremony for Banner Set the Standard Award winners.
• Single Point of Contact (SPOC) between FFS and TES for all Big Bet Programs (Football, Basketball, MLB and ACMA’s). This encompasses ensuring registration is accurately completed for both employees and their customers, attending bi-weekly meetings, administering changes, and staying within assigned fiscal responsibility.

Qualifications
• Minimum of High School Diploma or General Equivalency Diploma (GED)
• Minimum of 4 years administrative experience supporting executives
• Minimum of 4 years using MS Office – Outlook, Word, Excel, and PowerPoint
