This is an exciting opportunity for a Senior Administrative Assistant to support a VP and their team in the Oncology Therapeutic Area. The Senior Administrative Assistant will provide, full administrative support to the VP and Senior Leaders. This requires taking initiative, acting professionally with poise in a complex, high profile fast paced environment.
This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment and resolution of complex situations/problems. The candidate must have the ability to respond to shifting priorities. This person will have regular contact with senior management & key opinion leaders internally and outside Johnson & Johnson to provide or gather information, often of a sensitive and confidential nature.
Responsibilities include:
• Managing complex and changing calendars, scheduling meetings
• Making complex domestic and international travel arrangements
• Managing expense reports for Directors and above.
• While managing senior leader’s calendars and prioritizing competing requests, the individual should also be able to manage their own workload and handle numerous projects of various complex natures simultaneously.
• Scan mail for the executives and highlight items for review or action.
• Respond to routine correspondence or draft a response for executive's review on more complex correspondence.
• Follow up on items delegated by executives, and screen calls and respond to complex inquiries from all levels of employees or external sources regarding a variety of questions.
• Ability to make last-minute changes to calendars due to shifting priorities, and often make decisions without prior approval from assigned leaders.
• Excellent collaboration and teamwork skills are required to coordinate with other administrative staff to accomplish departmental activities.
• composing and preparing routine correspondence including letters, various documents, presentations, etc.
• Order and maintain office supplies.
• Coordinate activities for office moves, computer and phone installations, space allocation, onboarding, for new employees.
• Understand and follow Company policies, procedures and guidelines relevant to assigned duties.
Qualifications
• Minimum of a high school diploma and 7 plus years administrative experience supporting executive management, including prioritizing, managing complex & changeable calendars.
• An Associate degree or higher or CPS Certification is preferred.
• Must be able to demonstrate flexibility while maintaining a sense of urgency, intensity, and confidentiality the position requires.
• Must possess extensive knowledge of and demonstrate expert level proficiency with personal computers working with Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.).
• Proficiency in Concur, SharePoint, Our Source, IRIS, eMarketplace/Ariba, Skype- WebEx is a plus.
• This role is based in Spring House, PA however, the individual should be willing to travel to other PA and NJ locations, as needed.
