Manages the Trust Centralized Services department, responsible for the execution of processes that have been centralized from Trust Administrative teams. Provides guidance to ensure timely and efficient workflows that are structured in accordance with industry, audit and OCC requirements. Serves as a resource to the business line regarding escalated items, processing exceptions and delays. Actively participates in the determination and implementation of centralization opportunities as well as changes to process, procedures and systems that impact Trust Centralized Services. Supervised functions include oversight of account opening & closing, account maintenance, BSA data collection, asset free receipts & deliveries, fee set-up and collection, ILIT Administration, regulatory account reviews, business line reporting and other services supporting Trust clients.
Fully complies with all applicable enterprise policies and procedures. Acts in compliance with all applicable laws and regulations as outlined in training materials, including but not limited to Bank Secrecy Act. Responsible for reporting suspicious activity to Financial Intelligence. Responsible to report all customer complaints as prescribed and procedure violations to management or HR. Responsible to report ethical concerns as needed to Associated’s anonymous Ethics Hotline.

Regulation and Compliance
Provide direction and developmental guidance for the individuals that comprise the Trust Centralized Services department. This includes meeting with each colleague on a regular basis to maintain an understanding of their job accountabilities, setting and measuring expectations, providing guidance and training as unique or escalated situations arise and ensuring all work is performed within required guidelines.
Actively participate in leading the centralization of Administrative functions as well as process and system enhancements that impact Trust Centralized Services. Attend all project meetings and formulate suggestions for implementation. Work with the WMIS Support Project & Training Manager to manage procedural updates and training.
Provide necessary day-to-day assistance to all Personal Trust, Retirement Plan Services, Corporate Trust and Investment departments. Proactively communicate with the business line regarding errors or delays in processing.
Ensure adequate staffing of the Trust Centralized Services department and have provisions in place to provide necessary cross training for backups at all times. Guarantee that separation of duties is in place where necessary and that work is processed in a timely and consistent manner by each individual and their backup(s).
Oversee account opening, maintenance and closing processes. Provide supervisory oversight of ILIT Administration as it relates to the review of insurance policies, Crummy letters and premium payments. Also provide supervisory oversight of asset Free Receipts & Deliveries as it relates to security setup & transfer, cost basis requirements and tax implications. For each functional area, ensure that adequate policies, procedures and training are provided in order to maintain high service standards, accuracy and regulatory compliance.
Lead the fee processing team. Ensure that adequate policies, procedures and training are provided as it relates to fee setup, processing & removal, fee exceptions, balancing of fees, and revenue reporting.
Manage the Centralized Account review team. Oversee the completion and oversight of centralized portions of the administrative account review process. Work directly with business line partners and Compliance to evaluate ongoing updates to question sets in order to improve risk mitigation and respond to regulatory change.
Direct and provide oversight on the processing and distribution of business line reporting as well as other centralized business line tasks such as bill pay, retention letters, asset restrictions, address changes, cost basis adjustments and BSA oversight.
Oversee workflows and processes that support Senior Financial Advisors, providing centralized services for multiple WMIS business lines. Engage with colleagues and business line managers to continually evaluate policies, procedures and training are provided in order to maintain high services standards, accuracy and regulatory compliance.
Manage system templates; perform periodic reviews to ensure data integrity. Review and approve processing and exception reports.
Collaborate with internal Audit and Compliance to provide all necessary material to meet audit requirements. Review processes and procedures within the Trust Centralized Services department on a regular basis to ensure that they are up-to-date and in alignment with regulatory and business line requirements.
