Provide high-level administrative support for the North American M&A franchise, including team Heads as well as senior and junior staff
Manage and maintain schedules / calendars
Manage travel arrangements for team members through use of relevant systems
Prepare expense reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software
Open, sort, and distribute incoming correspondence, including faxes and email
File and retrieve corporate documents, records, and reports
Prepare responses to correspondence containing routine inquiries
Manage office supplies
Prepare accurate expense reports based on internal project codification
Prepare invoices to clients (fees and expenses) based on instructions received from the Front Office as well as expense reports
Ensure timely mailing to clients and communication with the Bank’s accounting department
7+ years of relevant experience within the financial industry supporting Sr. Level Executives
Excellent calendar management skills, including the coordination of complex executive meetings
Well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs
Undergraduate degree in related business field of study
Knowledge of administrative and clerical procedures and systems, such as MS Word, Excel and PowerPoint
Experience in coordinating travel (both Domestic & International) and extensive experience in expense reporting
Knowledge of principles and processes for providing customer and personal services
