Responsible for coordinating the Home Patient delivery routes and resolving problems related to method of delivery, across numerous facilities (up to 4-5 locations), multiple Service Specialist (up to 25 employees), and up to 2800 home patient customers spread across numerous states with large geographical areas and geographical challenges. Schedules and coordinates the transportation of products in order to satisfy customer requirements. Analyzes distribution, cost analysis, resources, and a variety of other problems to provide or formulate and develop modified solutions to business issues affecting the daily operations function.
Essential Duties and Responsibilities. This section contains a list of five to eight primary responsibilities of the work. The incumbent will perform other duties as assigned.
Provides ongoing routing solutions to improve database maintenance and regularly generates reports utilizing different software applications in order to analyze actual department performance.
Reviews routes daily for responsible regions to prepare daily delivery schedules. Plans and coordinates scheduling for vacations, holidays, and other unplanned events. Assists with the development of daily private fleet routes and/or loads cost effectively utilizing a private fleet or third part logistics. Schedules alternate freight transportation when necessary.
Review daily routes for responsible sites or region in order to develop and schedule daily Company private fleet or Commercial routes and/or Messenger deliveries. Perform required analyses by considering the following factors: Cost effectiveness of assigning motor vehicles and drivers to make Home and/or Hospital deliveries, length of trip (in hours), DOT freight requirements (weight restrictions, Freight class code, etc.), Customer delivery time/day restrictions, stock placement/rotation preferences etc.
Assists with planning, coordinating and scheduling for vacations, holidays, and other unplanned events on a rolling 12 week calendar.
Assist with the utilization of different software applications to run reports, import driver logs, print driver manifests, driver directions and other job related duties.
Performs a variety of traffic activities which includes the audit of freight bills, processing property claims, selecting and recommending carriers.
Prepare and distribute daily paperwork for drivers to field operations contacts. Coordinate workflow with 3PL (e.g. Cardinal) to ensure that picking, sequencing, staging and checking of products are completed in an accurate and timely manner for all private fleet and commercial deliveries.
Works with management, vendors, and Service Specialist’s to ensure daily and/or weekly submission and compliance with Driver Qualification files (JJ Keller), driver logs, fuel trip reports, fuel tax reporting, timecards, expense reports and all other State/Federal DOT regulated rules/regulations.
Make required phone calls and/or send emails to Internal (e.g. sales, customer service, credit and collections, routing, service specialists, etc.) and External customers (e.g. Home patients, Clinic nurses, etc.) clinics on deliveries with special shipping instructions, short lead times, returns and redeliveries, in order to ensure the provision of effective service that meets and exceeds the Customer and Nurse delivery expectations. Must also use software applications to update order information/ updated progression notes that address all delivery changes or discrepancies. May serve as the first point of contact for a driver (private or commercial) with delivery issues.
Will utilize software applications to provide a record of all POD’s (vacation or BSS) obtained from customer deliveries (Carrier / Private) to follow company notification requirements.
May be involved in generating reports utilizing a variety of software applications to assist with forecasts and analyze trends to aide in the development of performance standards and/or operational improvement projects.
Responsible for management of expenses within cost centers. Responsibilities include but not limited to invoice processing and ensuring that expenditures are hitting appropriate business units, utilizes and process expenditures in Concur for Service Specialist reimbursements, tracking and monitoring expenses, payroll processing and supply ordering. May also be required to have procurement cards set up in employee/company name to process select payments to vendors.
Responsible for ensuring On-Board driver computers are working appropriately, utilizing software applications by working with vendors to run tests, problem solve, trouble shoot or send required updates to driver computers when needed.
May assist with cross-functional divisions of the supply chain to increase freight leverage and work to improve overall delivery costs. Includes working with 3PL (e.g. Cardinal) and utilizing their system applications to understand freight opportunities.
Ensure that all manual timecards are accurately filled out and perform the required analysis to ensure the timely input of all Service Specialist’s payroll hours into “Kronos” on a daily/weekly basis.
Do whatever is required to quickly learn the “new” OBC program and its tracking and reporting functions, help answer the Service Specialists questions and show the initiative to perform the follow up activities to include but limited to the following: route analysis, MPH by street, delivery learn times, Customer sequencing etc. as requested by the Regional Operations Manager in order to ensure a smooth transition in utilizing the upcoming tools/technology.

Strong problem solving and analytical skills are required as well as the ability to multi-task.
Excellent written and verbal communication skills and computer skills are required.
Proficient in Microsoft office (e.g. Word and Excel), and multiple software applications.
Must be able to work in a team environment and have independent self-direction and ability to produce results with minimal supervision.
Education and/or Experience. Include the education and/or experience that is necessary to perform the job satisfactorily.

2 - 4 years relevant professional experience required. Previous distribution and transportation experience preferred. High school degree or equivalent is required.
