Guest Communications Coordinator

NBC 2020 Olympic Hospitality Program Overview
Company will host approximately 1200 guest in Tokyo for the Olympic Summer Games from July 23 – August 11. The program will be spread out over 4 waves each consisting of 5 or 6-day trips. Guests will include high-level executives from Company, Comcast and their top clients. In this positon, you would be the main liaison with the guests handling all communication, registration, travel coordination, etc.
Coordinate the management of all Olympic packages for various Company groups including Network Sales, Local Owned Stations, NBC Entertainment, Executive Committee, Comcast, etc.
Oversee the online registration site for all Olympic packages
Manage the Olympic Guest Information Phone Line and Email Box
Handle all guest communications including invitations, registration information and travel packets.
Work with our travel agents to book all guest travel via charter and scheduled air.
Assist the event team with compiling guest information for hotel, merchandise, activities and food & beverage.
Facilitate additional projects and administrative duties as needed (i.e. In-Flight Entertainment, Client Flier, etc…)
Must be a confident, mature, and organized team player who is able to prioritize and multi-task.
This job requires strong written and verbal communication skills.
Must have excellent phone manner and remain patient and calm under stress.
The work schedule varies, so candidate must be willing to work long hours and weekends.
Must be highly proficient in Microsoft Excel.
