Job Description Summary
The purpose of this position is to provide facilities management leadership during the design and construction phase of a new development or large construction project. The Facilities Management Lead is charged with participation in the development process (pre-opening activities). This role is a key member of the Workplace Operations Readiness and Transitions team to liaison with the facilities management operations team to ensure the successful transition of FM programs. The position will coordinate the activities, vendors, and services required to ensure a successful First Day of Business as new properties are built out and brought into the portfolio.
Develops and implements FM solutions for the day-to-day operations of newly acquired commercial properties including subcontracts for hard and soft services.
Charged with the setup and transition of all maintenance programs relating to the interior and exterior conditions and appearance of the properties
Responsible for assessment of future tenant and occupant needs to develop and transition appropriate facilities management services
Ensures that all site-specific documentation and reports are developed for hand-over including (and as applicable): Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, IIPP Manual, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year-end Performance Report, and other reports and documentation as required
Collaborate as needed on budget development budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facilities or complex. Coordinate the preparation and publication of the annual budget, quarterly re-forecast, and business plans
Coordinate the due diligence and development of capital budgets for the property. This includes contributions towards a five-year plan of maintenance, facility improvement, and cost reduction initiatives
Responsible for the collection, analysis and reporting of such statistical data as may be required to provide accurate and current assessment of facility management objectives
Facilities Management Lead shall be thoroughly familiar with the landlord contract and all requirements contained therein
Partner with procurement for setup of required subcontracts
Setup gearing ratios to develop staffing plans and coordinate with facilities operations team in hiring process
Monitor and ensure that tenants and vendors comply with setup for insurance requirements as required
JOB REQUIREMENTS & QUALIFICATIONS
Four year college/university degree
A minimum of 5 years of facilities management, commercial high-rise, campus environment, and/or property portfolio management experience required
Breadth of experience in leasing, construction, engineering and all facets of property operation and building management is preferred
Experience with critical system environments is desired
Experience in a matrix based organization is desired
CFM, FMA, PMP industry certifications recommended; other Engineering, Business or technical training or certifications a plus
