This position currently reports to the Director, Food & Beverage Concept Development for the Walt Company World Resort.
You would be responsible for the day-to-day workings of the leaders you support. This role provides day-to-day administrative support for Director of F&B Concept Development and Director of F&B Culinary Concepts. This position requires multi-tasking, problem solving, prioritization skills, decision-making and proficiency in all levels of communication. As the “face” of your executives within The Walt Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a critical component to its success.
Complex calendar & schedule management
Email assistance and prioritization
Proactively managing and scheduling meetings and maintaining constant communication to provide real-time updates/changes to the schedule.
Ensuring executive is set up for success to attend/host meetings and maintain both balance and punctuality
Managing the planning, coordination and execution of business travel
Proficient in SAP processing, to support administrative tasks
Preparing expense reports and invoices to ensure timely payment processing
Proficient in booking conference rooms and arranging conference calls, web based meetings and video chats and interested in technology
Starting VTC or conference call meetings. If hosting or joining a group meeting, having the technology ready in advance to jump right into the meeting
Assisting with executive level presentation creation, documentation of office procedures, research and provide overall support for team members
Collaborate with other administrative professionals in the organization and provide backup assistance as needed
Able to interact with Cast Members at all levels as well as Operating Participants
Organizational Management including HRF and OPA
Draft letters and emails on behalf of your leaders
Act as casual buyer of all office supplies, manage purchase orders, and look up payment history
Prepare regular reports and summaries
Mentor and train other support professionals within our organization
Building and office management: Access Control, Engineering, HotSos, etc.
Minimum 3 years related experience, including proven experience supporting an Executive leader
Demonstrated computer proficiency in Microsoft Word, Excel, PowerPoint, Outlook (calendar and email), SAP, MS Teams, Box (MyDisneyFiles), Concur, Alacart, HotSos with willingness and aptitude to learn new things
Demonstrated strong email, organization and time management skills and ability to work with confidential information
Demonstrated ability to prioritize multiple tasks, meet deadlines, make decisions and change course when necessary
Proven ability to build effective working relationships with all levels, personalities and work styles by being knowledgeable and credible
Demonstrated ability to work independently and within a team dynamic environment with strong follow-through skills and attention to detail
Demonstrated strong verbal and written communication skills
Ability to work effectively and efficiently in a fast-paced and demanding environment with the ability to be flexible with work schedule
Ability to multi-task and prioritize deadlines/deliverables
Strong proficiency with all types of computers, phones and office equipment
Desire to immerse yourself fully and learn all aspects of the business and proactively understand its effect on your work and your executive
Prior experience in a Food & Beverage Role
High school degree
