This position will provide administrative support to both the Regional President and Chief Human Resources Officer by handling a wide range of administrative functions for the business line or department. In executive's absence, ensures that requests for action or information are relayed to the appropriate staff member. Interprets requests, helps implement action, and decides whether executive should be notified of important or emergency matters as needed. This role requires the preparing and handling of confidential business and personnel information including sensitive associate data.
The Primary Responsibilities of this position are:
Performs administrative duties in support of the executive: scheduling, coordinating, screening calls, filing, in/out correspondence and communications, etc.
Manages the Officer’s calendar. This includes paying strict attention to details and anticipating potential changes, travel commitments and problems.
Prepares and submits expense reports on behalf of the executive.
Screens visitors, phone calls, emails, or physical mail.
Makes independent decisions to determine the best approach or action to take in non-routine situations.
Manages work flow to assure all deadlines are met.
Plans meetings as required on behalf of the organization and/or department; would include but not be limited to scheduling dates, locations, coordinating logistics, transportation needs, developing agendas, presentation requirements, meeting minutes and technology setup. Planning these meetings may be done autonomously or as part of a larger team.
Completes special projects such as designing reports; capturing data, information and opinions; providing summaries and exception information.
May oversee the handling of member complaints and associate issues addressed to the executive; including writing response letters to members, assigning follow-up to the appropriate person in the organization and tracking the complaint to resolution.
Represents the EVP and Company in dealings with Company members, Board of Directors, Company National, other Company clubs, internal associates and various external constituencies as directed by the Officer
Creates PowerPoint presentations.
Other duties as assigned.
High school diploma or equivalent; Associate’s or bachelor’s degree preferred.
8+ years of professional administrative experience including experience supporting executives.
Strong communication skills, both oral and written are required.
Proven ability to prepare correspondence, memos, and reports.
Proven expertise in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
Proven expertise in organizing work, coordinating, developing reports, and internet research.
Excellent interpersonal skills, project coordination experience, high degree of flexibility, and strong communication skills to work well with all levels of internal management and staff as well as external contacts.
Proven ability to be flexible and adapt quickly to changes within the organization.
Proven ability to use tact and professionalism and maintain confidentiality in dealing with sensitive data and situations.
Knowledge of Company Federation and business lines highly desirable.
Ability to work as a team player is essential. Good working relationship with senior executives, board members, and other administrative assistants highly desirable.
Ability and willingness to travel occasionally, as needed.
Ability to work autonomously.
