Role Purpose
The Executive Assistant will provide direct administrative assistance and support to the EVP of Digital Enterprises, Seeso and SVP, Head of Marketing, Seeso. The Executive Assistant will oversee day-to-day management of the department’s NYC Office. The successful candidate should have the skills and knowledge necessary to manage a business office situation, including day-to-day administrative activities including but not limited to: schedule management, meeting coordination and minutes, coordinating travel and logistical arrangements, managing a variety of clerical duties, and communications among the senior team.
Responsibilities
Complete a broad variety of administrative tasks including: representing the EVP and SVP in all interactions (internal and external) with poise and tact, proactively managing and coordinating daily schedule and calendar, and travel arrangements
Oversee operations of the NYC Office of Seeso
Oversee communications between the senior team members and members of the LA office
Manage special projects for the NYC programming team, script coverage, screenings, talent and attending live performances
Handle matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
Maintain confidential information/documents with high level of discretion
Coordinate meetings (conferences, teleconferences, etc.) with internal and external parties, working across multiple calendars
Arrange comprehensive and detailed business travel itineraries.
Make travel arrangements for the NY executive team
Maintain workflow when the assigned executives are out of the office, anticipate issues, and make decisions with initiative, independent judgment, and logic
Answer and screen incoming phone calls; coordinate telephone conferences, respond or route external/internal calls
Act as liaison with clients, vendors, managers and employees
Work closely with senior staff and interface with corporate officers and their assistants
Process expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner
Qualifications/Requirements
Basic Qualifications
Previous experience in administration or coordinator position
Previous office management experience
Previous experience maintaining executives' work and travel schedules is required
Exceptional written and verbal communication skills
Experience with content creative preferred
Proven ability to collaborate in an administrative team environment
Must be proficient in the use of personal computers and superior skills in using Microsoft Office programs including Outlook, Word, Power Point, and Excel
Previous experience with project and/or event coordination preferred.
