Home Lending Finance – Executive Administrative Assistant

The Home Lending (HL) Finance group is a trusted partner to the HL business to help develop and execute key business priorities. The group is responsible for forecasting, creating, and analyzing various financial reports and metrics for the HL business. The group is seeking an Executive Administrative Assistant to support the HL Production Chief Financial Officer and Finance & Business Analysis Team with a variety of administrative tasks and key projects.
The ideal candidate will possess strong communication and organizational skills, attention to detail, and an ability to handle multiple priorities in a fast-paced environment. Main duties will include management of calendars / meeting coordination, travel arrangements, processing expenses, reviewing correspondence / emails, and management of projects.
The role is based in Columbus, Ohio.
Proactive management of calendars, including swift setup of meetings, timely production of meeting materials, and meeting location coordination
Assist with various business management related projects
Coordinate and prepare materials for staff / team meetings
Become integral member of team and understand group priorities and expectations
Support staff onboarding and off boarding including technology setup and access requests
Provide phone support for HL Finance Executives
Assist with overflow, special projects and peer back-up coverage
Complete travel arrangements: coordination of flights, visas, ground transportation logistics in accordance with company policy
Manage expense processing through Concur and order office supplies as needed
Maintain familiarity with all policy and technology updates
Self-starter with sense of urgency and professional demeanor
Extremely organized and detail-oriented with strong time-management skills
Strong interpersonal and communication skills, both written and oral
Willingness to learn business context and understand how and why tasks meet business needs
Experience managing busy executives and multiple calendars
Excellent telephone etiquette
Demonstrated ability managing multiple priorities and ensuring projects are completed on time
Sound judgment and excellent problem-solving skills
Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, PowerPoint)
Effective interpersonal skills that support a welcoming environment and positive team culture
Motivated by collaborative environment and willing to go the extra mile
Minimum 5 years administrative experience (3 years supporting executive-level preferred)
Bachelor’s Degree is preferred
