Purpose
The Production Setup Co-ordinator is responsible for supporting the delivery of two key business activities within Production Setup;
Project Setup
To manage the preparation of questions papers for ePEN (Company’s online marking solution) marking and the ResultsPlus service available for centres and learners.
Onscreen Setup
To manage the creation and preparation of onscreen content for delivery to our onscreen testing platforms. To be responsible for ensuring that
tests, mark schemes and other materials are delivered to
deadline and that they meet defined quality criteria.
Both areas of responsibility require working closely with multiple teams across Company to deliver fit-for-purpose and accurate content and parameters for both ePEN marking and Onscreen delivery.
Accountabilities
Defining parameters for ePEN marking:
Working closely with the Operations Manager, Assessment colleagues and other key stakeholders to define ePEN marking parameters that ensure that set-up is fit for purpose, and facilitate appropriate marker deployment.
Setting-up papers for Item Level Mark Capture (ILMC):
Working closely with key stakeholders to define parameters that meet both operational and customer requirements
Setting-up ILMC papers
Onscreen Production:
Manage and facilitate the completion of all tasks related to the production of onscreen tests, mark schemes and any other onscreen related material. This will involve the creation and conversion of onscreen items using our onscreen authoring and publishing tools to ensure tests are published successfully.
Progress Monitoring/Reporting:
Plan schedules of work with key stakeholders to agreed deadlines without compromising on quality
Tracking progress at each stage of the onscreen and project set-up processes to ensure key deadlines are met.
Escalating risks and issues to the Operations Manager
Providing accurate and timely management information to a variety of stakeholders
Maintaining Security:
Maintaining the rigorous security of all live materials (hard and soft copy) at all times. Ensuring appropriate access levels are granted to other staff involved in the set-up of question papers and onscreen tests.
Quality Assurance:
Quality checking set-up parameters and test metadata before they are confirmed as error free and fit for purpose
Customer Service:
Maintaining communication between key stakeholders at all times
Responding to customer queries (internal colleagues) in a timely and appropriate manner
Providing training and support to users of software used to facilitate set-up and onscreen related activities.
Challenges
• To maintain rigorous security of all materials at all times
• Working to immovable deadlines
• To maintain and monitor individual paper records for large numbers of question papers and onscreen tests, all at different stages of production, across more than one examination series.
• Liaising with colleagues in other parts of the business at times of year when they are operating in a period of peak activity
Qualifications
Experience
• Proven experience involving project or process coordination
Education, Qualifications
• Educated to degree level or equivalent
• Intermediate level of ability of Microsoft Office; Advanced Excel skills would be an advantage
Key Competencies
• Excellent attention to detail.
• Good interpersonal skills are required with the ability to negotiate and persuade
• Good written and verbal communication skills are essential
• Good numeric and statistical skills are required
• Must have the ability to prioritise workload to meet the needs of the business and work under pressure and to tight deadlines
Working Pattern - 37.5 hours per week
