The Assistant Manager Sales-Special Events is responsible for ensuring the overall sales process runs seamlessly. The position will be in constant contact with clients, and communicate with vendors to ensure a smooth process. The position will assist with researching and developing internal leads from the community and industry, as well as be responsible for general administrative tasks including invoice processing, answering phones and ordering office supplies.
Essential Duties Include:
1. Responsible for communicating with clients via phone and/or email. Will maintain continuous communication with vendors to make sure all event preparations are running smoothly; this includes assigning applicable tasks to event staff, answering inquires, creating proposals and quotes, and putting together contracts and invoices accordingly per event.
2. Tracks, documents and processes invoices when payment are received, make sure to send all information to accounting.
3. Administrative tasks include completing sales packets, filing, ordering office supplies and answering phone calls.
4. Responsible for being an active member of the event community by attending industry events.
5. Provides information to potential clients regarding Company Live facility and its requirements use as needed.
6. Coordinates with internal departments and staff regarding all Special Event needs.
Requires Qualifications Include:
1. A minimum education level of: Bachelor of Arts/Sciences Degree (4-year) in a related field
2. 3-5 years of related work experience
3. Ability to work a flexible schedule including nights, weekends and some holidays.
4. Must have excellent computer skills including proficiency with Microsoft Office ().
5. Superior verbal, written and listening communication skills.
6. Strong attention to detail with excellent proofreading and editing ability.
7. Ability to handle confidential matters with absolute discretion.
8. Ability to work independently with little supervision,
9. Experience working with events
10. Ability to multitask, prioritize, meet deadlines and problem solve.
