Provide high level administrative support to multiple assigned “best-in-class’ real estate brokers, often handling details of a confidential nature. Responsible for prioritizing projects to meet multiple deadlines in a very fast-paced, team-oriented environment. Responsible for managing a team of brokers to create and manage a detailed and specific strategic disposition process. This role will support brokerage activities by providing analysis, market surveys, and completing special projects as assigned in order to support quality decision making by clients and brokerage team.
Prepare correspondence, documents, RFP’s, LOI’s, Listing Agreements, reports, account invoices, spreadsheets and more with direction from brokers and/or knowledge of company policies and procedures
Gather and evaluate economic, demographic and real estate market data for input into client deliverables and valuation models
Provide high level support and leverage to multiple assigned real estate professionals, often handling a large amount of details relating to complex real estate transactions
Create, edit and assist with the preparations of presentation and pitch materials for new business pursuits and presentations for prospect/client meetings. Assist with gathering research information and gathering building information, maps and pictures and creating building tour books and flyers, often with a short lead-time
Update and maintain databases/reporting, including CRM and Deal Management records, to track prospects, clients and deal information. Develop and manage workflow and communication process, solicit approvals, and create reports for brokers and clients as needed
Liaise with other departments, such as Marketing and Research, as needed within Company.
Use Company business intelligence tools to review data at a portfolio level and help guide Client’s decision making & strategy
Point of contact for tracking, management, reporting. Monitor and oversee all marketing activity
Manage and track data, offers, store documents, prepare summaries and generate reports. This includes property documents such as titles with underlying documents, surveys, environmental reports, zoning, leases, Common Area Maintenance, Operating Agreements, CC&R’s (Condition, Covenants and Restrictions), zoning regulations and their permitted uses and tax information
Manage a web-accessible site which will serve as a tool to list and describe properties
Research availability and comps in the markets as required and help team update and maintain trade area information
Perform general administrative duties such as answering phones, filing, scheduling fed ex deliveries, scheduling meetings to further support and leverage the sales process or other duties as needed
College degree and real estate broker or salespersons license preferred
Minimum five years’ experience preferred two years+ supporting multiple people in commercial real estate industry
Strong organizational, interpersonal and communication skills and attention to detail
Experience working with process management and databases preferred
Thorough working knowledge of Microsoft Word, Excel, Power Point, Outlook and database software (e.g. APTO, ESRI, Landvision)
Able to multi-task, work successfully under pressure, and effectively prioritize and manage time and workload to meet client deadlines
Willing to take on new challenges, responsibilities, and assignments
Self-motivated with strong time management skills. Team Player with strong interpersonal skills
