The Vice President for Engineering Excellence within Company, Space is seeking an Administrative Assistant. In this position the selected candidate will provide a full range of moderate to complex administrative work assignments reporting directly to the Vice President.
This position is full time and performs a broad range of administrative duties. The position requires working in a high-paced environment, working independently and proactively, interfacing in a highly professional manner with executives, acting with a high degree of discretion, and working effectively in teams. Typical duties or assignments may include but are not limited to: arranging executive travel and timely completion of expense reports in Concur, taking notes in meetings, ensuring executive correspondences are accurate and contain appropriate grammatical usage, answering questions relating to office operations and established policies and procedures, properly handling and/or labeling sensitive documents, maintaining organized files, working efficiently with standard desk top software (full complement of Microsoft Office Suite) to access Company systems, composing correspondences, build spreadsheets and preparing presentation charts, proactive follow-through on tasks and delegations, responding promptly to emails and phone calls, screening phone calls and inquiries, and actively managing the VP’s schedule and commitments to maximize time efficiency. The position requires absolute discretion and tact in managing email, telephone calls, sensitive information, employee and personal data.

•Demonstrated professional interpersonal skills, both verbal and written, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
•Demonstrated advanced computer with respect to Microsoft Office Suite (Outlook, Word, Excel, Power Point and Access), (particularly calendaring features), knowledge of Live Meeting collaboration tools and internet research skills.
•Solid understanding of Share Point (knowledge should include navigating, creating folders, organization of Share Point sites).
•Ability to coordinate complex domestic and international travel arrangements and reconcile travel and other expenses in Concur.
•Ability to handle confidential and sensitive information with the utmost discretion.
•Flexibility and possess project management skills and project coordination experience sufficient to work independently and execute projects with minimal direction.
•Ability to take initiative in leader's absence.
•Ability to prioritize and complete assignments accurately and on time.
•Compose reports, correspondence, and memorandums; reviews finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.
•Shown ability to meet the expectations and requirements of an executive leader and internal customers as well as establish and maintains effective relationships and gain trust and respect
•Demonstrated experience maintaining a professional demeanor in a consistently paced environment; effectively balance multiple projects/tasks, able to prioritize and to adapt to change or unexpected projects requiring adherence to time limits.
•At least 5 years of relevant Administrative experience.
-Working knowledge of Space Company (Company) policies and procedures a plus.
-Secret or Top Secret clearance
-Occasional domestic travel.
-Must have a high degree of interpersonal savviness - relates well to all kinds of people, up, down, and sideways, inside and outside the organization; builds appropriate rapport; builds constructive and effective relationships; uses diplomacy and tact; can diffuse even high-tension situations comfortably.
