Role Summary:
This Administrative Assistant is a key member of the Creative/Production group within the Music department specializing in production, creative, and budgetary areas of the film-music processes. This position will report to the SVP, Film Music.
Essential Responsibilities:
Phones, scheduling, expense reports, filing, other administrative duties as needed
Responsible for maintaining work flow of the department
Support the executives to collaboratively and intuitively handle a variety of “spillover” work: music research, source/song music searches, temp-score research, interfacing with key contacts at record labels, publishers, artists, writers, musicians, music production companies, composer agencies, etc.
Research song info to complete clearance forms for licensing department
Help oversee film music budgets and song breakdown reports
Work with licensing department to assure music budget accurately reflects clearances
Oversee all music downloads and the organization of the department’s new music drive
Oversee the creation of monthly new music samplers as well as other music samplers for filmmakers/executives as needed
Gather/send assets to filmmakers, executives and music editors as needed
Coordinate source/licensing estimates and spotting notes for each film’s research previews
Coordinate and distribute scripts, subsequent drafts/pages to all concerned in the department
Help coordinate the hiring and management of departmental interns
Qualifications/Requirements
Basic Qualifications:
MS Word and Excel proficiency
iTunes and Mac proficiency
Minimum 2 years experience working in music for a motion picture or television studio, production company, music label, composer, or music supervisor.
Excellent organizational skills and strong attention to detail is a must.
