The Banking Business Unit was established to advance our Cash and Lending capabilities in a meaningful way for our clients.
The new Banking Business Unit area has an exciting opportunity for an experienced Administrative Assistant to:
be part of a high performing team in a dynamic, fast paced area of the Firm that continues to grow
support senior leaders as the business unit strategy is being shaped and developed that will impact clients, branches and home office
gain exposure to new ways of working including design thinking to ensure a human-centered, client centric approach
Ideal candidate will bring a proactive approach to their work and have the following skills and experience:
effectively managing incoming and outgoing correspondence
complex calendar planning
travel arrangement and expense management
strong written and verbal communication skills
proficiency with PowerPoint, Word, Outlook and Excel
experience with event management and meeting organization is preferred
Perform the administrative work within the Division to relieve the Division Leader of day to day administrative and operational responsibilities.
Specific responsibilities may include:
Draft letters, memos and other Division communications.
Prepare Power Point presentations.
Handle phone calls, mail, e-mail and faxes. Answer questions and refer information requests to appropriate areas. Determine when calls or inquiries need to be brought to the attention of the Division Leader.
Handle the Division Leader's appointment calendar, schedule and coordinate meetings and handle travel arrangements.
Process payment of invoices and travel and business expense reports.
Handle administrative projects for the Division.
Maintain spreadsheets and prepare Division reports.
Initiate improvements to Division administrative processes.
High School Diploma or equivalent.
Secretarial training preferred.
Five to eight years of related experience.
Excellent organizational skills.
Good judgment in setting priorities, providing responses to requests for information/meetings and handling confidential information.
Initiative and ability to work independently.
Customer service orientation.
Understanding of Division's key functions and roles and functions of other Divisions within the firm.
Must have excellent verbal communication skills. Communicates with Leaders across the firm and with a broad range of external contacts.
Must have good written communication skills with ability to draft correspondence and memos.
Must be proficient in proofreading to ensure accuracy of correspondence/reports prior to distribution.
Must have skills in using computerized office programs such as Word, spreadsheet, Power Point, e-mail, internet and specific departmental systems.
