The Accounts Payable Assistant is responsible for accurate and timely day-to-day processing of accounts payable and receivable transactions including, but not limited to, the following:
Processing vendor invoices, employee reimbursements, corporate card settlements, international and domestic wire transfers, journal entries, transaction reconciliation and credit vouchers.
Ensuring compliance with purchasing policies and will review payments and reimbursements for proper documentation with appropriate follow-up as needed.
Maintaining vendor registration information and update as necessary; collect debarment, vendor justification, and other forms necessary to comply with HU and federal regulations.
Managing record-keeping by updating and tracking the status of the AP/AR workload; working with minimal supervision in selecting and applying established procedures appropriately.
Performing multiple diverse accounting and financial administrative duties for unrestricted and sponsored accounts. They will retrieve and review financial data; prepare financial status reports.
Performs other duties as assigned.
The Assistant will provide outstanding customer service and contribute to the goals of the unit as required.
PLEASE NOTE: This position has a term appointment of 1 year from date of hire, with the possibility of extension.
3+ years of related experience is required; a combination of education and experience may be considered
Bachelor's Degree is strongly preferred
1-3 years of experience in academia preferred; 1 -3 years of prior experience in Accounts Payable preferred
Strong organizational skills, strong multi-tasking skills and excellent communication (verbal and written) skills preferred
Experience maintaining calm in a fast-paced environment and experience providing high level customer service and simultaneously comply with institutional policies, interpret and communicate policies and procedures preferred
Works effectively with minimal supervision preferred
Experience handling complex and confidential information with discretion preferred
Strong computer experience requiring spread sheet, and database software preferred
Desire and aptitude to learn complex data query tools preferred
Company requires pre-employment reference checks and background screenings.
This position has a 90 day orientation and review period.
