The Clerk – Accounts Payable – Non-PO Processing will be part of a team that is responsible for payment processing (coding, routing, and approval verification) of signature based invoices, check requests, and payment feeds. The AP Clerk will ensure that all assigned invoices are accurately processed for payment in accordance with departmental and Company policies, practices, and procedures.
Specific Job Functions:
Ensuring that signature based invoices are properly routed to the various properties for payment and account distribution approval
Following up on status of invoices pending property approval
Ensuring the accuracy of general ledger coding
Ensuring that use tax, if applicable, is applied
Ensuring that invoices are processed promptly to take advantage of terms & discounts offered
Ensuring that invoices requiring special payment handling are flagged
Ensuring that controls are followed to prevent duplicate payments
Annotating conversations or special circumstances pertinent to an invoice so that they become part of the document record
Flagging those invoices which should have required a purchase order for property action
Working with the properties to assist in answering all payables related questions
Other duties as assigned
Minimum age requirement is 21.
One (1) year prior experience in A/P processing.
Detail oriented – the person will be accountable for accuracy of the information input into the A/P application.
Demonstrate organizational skills to function effectively while still maintaining attention to detail and meeting established deadlines.
Must possess excellent communication skills and demonstrate ability to resolve all situations in a professional manner.
Flexibility and ability to work within a fast growth environment with changing priorities.
Basic knowledge of Microsoft Excel, Outlook, Word
Ability to bend and reach into cabinets to file document, lift and move boxes weighing up to 20 pounds to load computer paper as well as the storage, retrieval and transportation of documents.
Operate business equipment such as telephone, photo copier, fax, 10 key and personal computer.
Possess the manual dexterity to access a computer via keyboard and be seated before a computer monitor for extended periods of time.
Must be able to communicate effectively in English, in both written and oral forms.
Must have interpersonal skills to deal effectively with all business contacts.
Maintain a professional, neat and well-groomed appearance, adhering to Company standards.
Work varied shifts, including weekends and holidays.
High School diploma or equivalent is required.
Proof of eligibility to work in the United States.
