Primary Function of Organizational Unit
The College of Design offers comprehensive undergraduate and graduate study in architecture, art + design, graphic design, industrial design and graduate studies in landscape architecture, through several degree programs, including the Ph.D. in Design, and the Doctor of Design program. The Design Lab benefits the K-12 community and beyond. Administratively, College of Design’s academic units are organized around centralized support centers: Finance Office, Admissions and Student Services, Academic Support Office, and Research and Extension.
The Finance Office serves as a centralized service center to the College of Design’s administrators, faculty, staff and students regarding financial and human resource activities against all funding sources. Office staff provide financial and human resource procedure and policy interpretation; transactional processing; budget management; recruitment/hiring guidance, support and processing; and international hiring/honorarium payments. All of these functions are conducted while also serving as the professional interface/liaison for and to the affiliated University offices, vendors, accrediting agencies, prospective employees and guests.
Essential Job Duties
The position as an Accounting Technician (Advanced) serves as a central resource to the College’s administrators, faculty, and students pertaining to financial and accounting issues as they relate to the academic mission of the College. It is imperative for an individual working in this position to have a comprehensive working knowledge of accounting policies and practices; university and state fiscal and administrative policies and procedures; be able to effectively interpret, communicate and apply policies and procedures; independently research and problem solve issues relating to accounting, travel, purchasing, account reconciliation, and budget analysis, exhibit a high level of confidentiality, professionalism and trust to the College community.
In particular, the Accounting Technician (Advanced) is expected to maintain accounting records, reconcile accounts, assist with financial transactions, prepare daily deposits and act as the point of contact of daily financial transactions and inquiries. This position will serve as college-level approval for vouchers, MarketPlace orders, requisitions, and day to day duties involving budget and accounting. This position is responsible for reviewing documents and transactions for accuracy of entries and reconciling data.
The Accounting Technician (Advanced) reports directly to the Budget Manager and performs responsibilities with minimal supervision. The position is responsible for reviewing financial transactions that are routed to the Budget Office for approval.
Duties and responsibilities of the Accounting Technician include, but are not limited to:
P-card management: Serve as the primary P-card manager for all College P-cards, Reconcile P-card statements and manage P-card workflows.
Travel Management: Review and approve travel authorizations and travel reimbursements. Manage travel system workflows ensuring that all travel transactions are reconciled in a timely manner.
Financial Transactions: Review and approve accounts payable, vouchers, and marketplace orders. Assist with interdepartmental transfers, journal entries, requisitions, honorarium payments, contract requests, and prepare daily deposits.
Prepare and reconcile and lecture series account analysis.
Review and reconcile university and interdepartmental billings.
Serve as the point of contact for daily financial transactions.
Provide support and serve as back up for other budget office related tasks when required.
Perform other duties as assigned by the supervisor.
High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Departmental Required Skills
Must exhibit a strong working knowledge of fundamental accounting concepts and use good judgment in organizing and setting priorities.
Ability to interpret policies, rules, regulations, and procedures governing financial services at NC State.
Must demonstrate experience with reviewing data for accuracy, and account reconciliations and reallocations.
Must have computer skills utilizing Google and Microsoft software applications (Google suites, Word, Excel), and ability to learn and use other software programs as required (PeopleSoft) or similar software.
Customer-service oriented, ability to respond in a timely manner to questions and resolve problems as quickly as possible.
Ability to work independently but also work as a collaborative team member and play an integral part in creating a positive work environment.
Strong interpersonal skills, attention to detail, good written and verbal communication skills.
Preferred Experience, Skills, Training/Education
Prefer 5+ years of progressively more complex accounting experience, or a combination of Accounting degree (BA or higher) plus 1 – 2 years of experience in the field.
